This notice explains how Steadfast Strength and Mobility, LLC, a Virginia coaching business serving Haymarket, Fairfax and surrounding communities, handles personal information through this website and inquiries about our services.
Who to contact
Steadfast Strength and Mobility, LLC is responsible for the information it collects for its coaching and business purposes. For privacy questions, access, correction or deletion requests, or to withdraw consent, email justin.stead@steadfaststrengthandmobility.com. Please use the subject “Privacy request” and do not include medical records or identification documents in your initial message.
Information you provide
Depending on the form or service you choose, we collect your name, email address, phone number, age or date of birth, optional address information, training goals, availability, exercise experience, communication preferences and information you choose to include in messages. Newsletter subscriptions collect your email address and subscription choice.
Our pre consultation questionnaire also asks about symptoms, injuries, surgeries, medical conditions, medications and exercise restrictions relevant to safe coaching, together with an emergency contact and your acknowledgments. Please provide only information relevant to exercise and consultation planning. Do not submit medical records, insurance numbers, Social Security numbers or unrelated sensitive details. Provide an emergency contact only with their knowledge.
Health information
Health information is used to review exercise readiness, discuss precautions, plan a consultation and determine whether coaching or medical clearance is appropriate. It is not a substitute for medical care. Our questionnaire asks separately for your consent to this use. You can contact us to withdraw that consent; withdrawal does not undo earlier lawful processing. If we cannot assess exercise safety without necessary information, we may be unable to provide a particular service.
Questionnaire responses are stored through Fluent Forms in our WordPress website. The current administrator email notification provides a link to review the questionnaire rather than reproducing health answers in the email. Website administration and hosting can involve technical access to stored information. No internet service can guarantee absolute security.
How we use information
We use information to answer inquiries, arrange consultations, assess service suitability, deliver requested coaching, communicate about services, maintain business records, protect the website, and meet legal obligations. We use email marketing choices to send requested strength, mobility and nutrition information. Submitting a contact inquiry or health questionnaire does not by itself subscribe you to marketing.
Where the GDPR applies, the legal basis depends on the purpose: steps you request before a contract and performance of a contract, legal obligations, legitimate interests such as handling ordinary inquiries and securing our services where those interests do not override your rights, or consent where required. Health information requires an additional applicable condition; for the questionnaire, we request explicit consent for the stated purposes.
Website analytics, cookies and external services
We use Google Analytics through MonsterInsights to understand website use, including page visits, device and browser information and certain link or download interactions. Google Site Kit displays reports. Analytics can involve online identifiers and information about visits. Essential website functions may use cookies or similar storage for security, sessions and form operation. Cookie preference controls are being configured. Until that setup is complete, do not assume that Analytics is blocked before a choice. You may restrict or delete cookies using your browser settings; deleting them may remove saved preferences.
External links, embedded content and booking services may process information under their own notices. Our consultation links open Google Calendar booking. Affiliate links, including Amazon links, can allow a merchant or affiliate provider to attribute qualifying purchases. A link to another service is not the same as sending that service your questionnaire answers. Review the destination provider’s notice before sharing information.
Service providers and disclosures
Information is processed using providers for website hosting, WordPress forms, email delivery, booking and analytics. The website uses GoDaddy hosting, Fluent Forms, Google Analytics and Google Calendar links, with email tools configured for business communications. Newsletter delivery may involve a separate mailing provider when that service is enabled. The information a provider receives depends on the feature used. We may also disclose information when legally required or when reasonably necessary to establish, exercise or defend legal claims. This notice does not authorize unrelated advertising use of submitted health information.
Retention
Retention depends on why the information was collected, whether you become a client, ongoing service needs and applicable legal, tax, insurance or dispute requirements. Contact us to ask about a particular record or request deletion. Deletion may be limited where continued retention is legally required or necessary for legal claims, and backup copies may remain until replaced through the provider’s backup cycle. This notice does not promise an automatic deletion period.
Your choices and requests
You may contact us to request access, correction or deletion, or to ask how information is used. Depending on applicable law, you may also have rights to restrict processing, object, receive a portable copy, withdraw consent or complain to a data protection authority. We may request proportionate information to verify your identity before disclosing records. Rights and exceptions depend on the law that applies to the request.
You can unsubscribe from marketing emails using the unsubscribe link or by contacting us. This does not prevent messages needed to respond to a consultation you requested or administer an ongoing service. Where cookie preferences are available, use them to change website tracking choices. You can also use your browser’s privacy settings.
California and other US privacy rights
State privacy rights depend on the applicable law and its coverage requirements. California residents may contact us about their information using the address above. If the CCPA applies to our activities, its rights may include access, correction, deletion, opting out of sale or sharing, limits on certain uses of sensitive information, and freedom from unlawful discrimination for exercising rights. We do not treat acceptance of this notice as consent to sell or share information. Browser Do Not Track and Global Privacy Control are different signals; the handling of tracking preferences depends on the website’s implemented controls and applicable law.
International processing
Steadfast operates in the United States, and information submitted to us may be processed there and in other countries where our providers operate. When applicable law requires a transfer mechanism, the relevant processing and transfer arrangements must meet those requirements. Contact us for information about the arrangements relevant to your service.
Children
These inquiry and subscription forms are intended for adults. A parent or guardian should contact us before submitting information about a minor. If you believe a child has submitted personal information without appropriate authorization, contact us so we can review it.
Changes to this notice
We update this page when our practices change and revise the date above. We will provide additional notice or request new consent where required. Our Terms and Conditions address website use; they do not replace this privacy notice.
